AIRLIFT COORDINATOR

SGA Kenya Limited is a multinational security organization with fixed base operations in the East Africa region, servicing security contracts throughout Africa from its regional headquarters in Nairobi, Kenya.

We are seeking to recruit a highly organized, analytical, and customer-focused Airlift Coordinator who is of high integrity and self-driven with the necessary skills and experience to join our team. The successful candidate will be based at our Nairobi Headquarters Office.

JOB INTRODUCTION

The Airlift Coordinator will be responsible for coordinating and managing all administrative and operational aspects of airlift services. This includes:

  • Handling customer bookings
  • Ensuring accurate documentation
  • Coordinating operational resources and subcontractors
  • Facilitating ticketing and logistics
  • Supporting pricing and quotations
  • Overseeing invoicing and collections
  • Monitoring service revenue and margins

ROLE RESPONSIBILITIES

This is a full-time role that may require the successful candidate to work outside normal working hours when necessary.

  1. Serve as the main point of contact for customers booking airlift services.
  2. Review customer documentation to ensure accuracy and liaise with customers where corrections are required.
  3. Acknowledge receipt of service requests and communicate allocation of resources.
  4. Update customers on service progress and completion status.
  5. Coordinate and make airline ticket bookings.
  6. Liaise with Operations to ensure allocation of required resources including CIT vans, couriers, and operational support.
  7. Coordinate with subcontractors where necessary to ensure service readiness and execution.
  8. Ensure timely and accurate invoicing through the relevant Finance Departments.
  9. Follow up with customers to ensure payments are made within agreed service level agreements (SLAs).
  10. Verify the accuracy of revenue and cost reports issued by Finance.
  11. Identify services performing below target GP margins and advise management accordingly.
  12. Prepare proposals for prospective customers.
  13. Provide quotations for revised, ad hoc, and additional customer service requirements.
  14. Maintain effective communication and coordination between customers, operations teams, and service providers.
  15. Ensure compliance with company operational procedures and customer requirements.

3. Revenue & Financial Management

  • Accuracy of invoicing and reporting
  • Monitoring service profitability and GP margins
  • Timely collections and payment follow-ups

4. Business Development Support

  • Timely preparation of quotations and proposals
  • Support in maintaining and growing customer accounts

REPORTING RELATIONSHIP

Reporting to the CIT Manager Kenya with dotted reporting to the Group CIT Manager / Group Commercial Officer.

THE IDEAL CANDIDATE

Knowledge and Qualifications

  • Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, Commerce, or a related field.
  • A Master’s degree, diploma, or certification in Logistics or Transport Operations will be an added advantage.
  • Relevant work experience may be considered in lieu of formal qualifications.
  • Understanding of Airlift Operations will be an added advantage.
